🗂️ Stocktake Essentials Part 2: Creating Your Stocktake Batch

A stocktake batch is where you'll record all your counted stock. You'll create batch 1 specifically for stocktake, and optionally use the Zero Items feature to pre-populate items.


Creating the Batch

  1. Navigate to the Stocktake tab and select Stocktake Entry
  2. Click Add
  3. In the batch creation dialog, type 1 in the batch number field

⚠️ Important: Only use batch 1 for stocktake. Batch numbers 2+ are for previewing and printing valuation reports. 

Before clicking OK to create the batch, you have two optional features available in the dialog:

Zero Items Feature

You can enable Zero Items to add all store items with a count of 0. As you count items, the 0 count will be overwritten. Uncounted items will remain at 0.

When to use Zero Items:

  • You want items not counted to be set to 0 stock
  • You need to clear negative stock items (Use Only load items with negative On Hand)
  • You're doing a complete store count

Filtering Options

If you enable Zero Items, you can also filter which items to include by:

  • Departments
  • Sub-Departments
  • Groups
  • Suppliers

This is helpful if you want to stocktake one department at a time, such as Cigarettes & Tobacco for Automatic Ordering setup.

Once you've configured your options, click OK to create the batch.
