🗑️Setting a Delete Date and Purging Items

After deactivating unused items, you can mark them with a delete date — this flags them for removal during a future purge. This only applies to InStore items (Host and Direct items cannot be safely deleted this way).

⚠️ Before using Mass Action, stop all related services and create a backup of your database. This ensures changes can be safely reverted if needed.

Prepare the System

Before making changes, it's always good to stop programs and backup data before changing anything.

From the system tray or Windows Services, stop these programs:

Program How to Stop
Web PDE / ConvOpenPDE Double-click and close the PDE window or stop ConvOpenPDE via Services
DhostSync Right-click the icon > Exit > Enter password: exit
DserverC (PDE Comms) Double-click > select Exit > confirm with Yes
Journaler Right-click > select Stop Journaling > confirm
Backup the Database
  1. Open C:\Convenience\DATABASE

  2. Right-click Convenience.GDB and copy

  3. Right-click anywhere in the folder and paste to create a backup

Now you’re safe to proceed — but still aim to get it right the first time!

Launch Mass Action

  1. Go to Inventory > Items

  2. Click Mass Action at the top

  3. A new window will open with filters and controls

Filter for Deactivated InStore Items

  1. Set Item Type to InStore

  2. Leave Active Only unticked

  3. Set any additional filters (e.g. department or last sales date)

  4. Click Refresh List

You’ll likely see fewer results than in deactivation, since only InStore items are eligible for deletion.

Select Items and Set Delete Dates

  1. Tick the items manually or use Select All

  2. Enter password: doit

  3. Click Set Delete Date on Selected InStore

Choose one of the following:
  • Set Delete Date → Use a safe placeholder like 01/01/2000

  • Remove Delete Date → To reverse a previous flag

Click OK to apply.

⏳ This may take time. Wait for it to finish before using Item Maintenance again.

Deactivated items will now appear in black text (instead of blue) in the item list.

Purge Deleted Items

  1. Close Mass Action and Item Maintenance

  2. Go to Tools > Purge Deleted Items

  3. Set the Items flagged before date to one day after your delete date

    • Example: If delete date was 01/01/2000, enter 02/01/2000

  4. Click Purge and confirm

Once done, a summary window will appear.

Final Step

Now, you just need to send the changes to the tills.

  1. Go to Inventory > Send Prices to Tills

  2. Select Initial Load

  3. Enter password: sure

  4. Click Process

Restart Services

To bring back everything you stopped earlier, the simplest solution is to reboot your PC.
