❌ How to Deactivate Items Using Mass Action
Deactivating items is the first step toward cleaning up your product list. It removes items from active use but keeps them in the system for future review or reactivation.
⚠️ Before using Mass Action, stop all related services and create a backup of your database. This ensures changes can be safely reverted if needed.
Prepare the System
Before making changes, it's always good to stop programs and backup data before changing anything.
From the system tray or Windows Services, stop these programs:
Program | How to Stop |
---|---|
Web PDE / ConvOpenPDE | Double-click and close the PDE window or stop ConvOpenPDE via Services |
DhostSync | Right-click the icon > Exit > Enter password: exit |
DserverC (PDE Comms) | Double-click > select Exit > confirm with Yes |
Journaler | Right-click > select Stop Journaling > confirm |
Backup the Database

Open
C:\Convenience\DATABASE

Right-click
Convenience.GDB
and copy -
Right-click anywhere in the folder and paste to create a backup
Now you’re safe to proceed — but still aim to get it right the first time!
Launch Mass Action

Go to Inventory > Items
-
Click Mass Action at the top

A new window will open with filters and controls
Filter and Select Items

Set filters:
-
Choose department or sub-department
-
Choose the item type (Host, Direct, or Instore)

Set a last sales date (only items with no sales since this date will be affected)

Tick Active Only
-
-
Click Refresh List
-
Select items:
-
Manually tick each item, or
-
Click Select All (then review carefully)

Deactivate Items
-
Enter password:
doit

Click Deactivate Selected
-
Confirm when prompted
⏳ This may take time. Wait for it to finish before using Item Maintenance again.
Deactivated items will now appear in black text (instead of blue) in the item list.
Final Step
Now, you just need to send the changes to the tills.

Go to Inventory > Send Prices to Tills

Select Initial Load
-
Enter password:
sure

Click Process
Restart Services
To bring back everything you stopped earlier, the simplest solution is to reboot your PC.
