💳Accounts Explained Part 3: Creating Debtor Accounts

Debtor accounts let customers charge purchases and pay later. Commonly used by organisations shopping at local stores.


Creating a Debtor Account

Navigate to the Accounts tab in Convenience and select Account Masterfile.

  • Select Add in the Account Masterfile
  • Enter a customer account number (recommend ascending order from 1)
  • Select OK

  • Fill required fields:
    • Name: Customer's full name
    • Short Name: What displays at the register
    • Type: Select Debtor Only

 

💡 Tip: For accounts with both charging and loyalty, choose Debtor + Loyalty account type. 

  • Select OK to save

ℹ️ Note: You can now send this account to tills and start using it. Continue below for optional configuration. 

Optional: Configure Account Settings

Set credit limits, fees, and terms directly in the account window:

Credit Limit: Enter maximum debt allowed (e.g., 500 for $500 limit)

Account Fee: Enter monthly account keeping fee

Terms: Payment terms in days (default: 30)

Sending Accounts to Tills

  1. Close Account Masterfile
  2. Select Send Accts to Tills in the Accounts tab
  3. Select Process

The account is now ready to use at all registers.
